Product catalogue for PDF and print: how to prepare data, images and structure

A reliable catalogue starts with structured product data, not a decorative cover. Build one source of truth for SKUs, specifications, images and section hierarchy before layout.

Most catalogue delays come from missing images, inconsistent product names, conflicting tables and corrections spread across multiple files. Build a single source of truth before page design.

Create a product data master

Use one row per SKU with name, code, short description, features, dimensions, variants, image references and category. Resolve conflicts before layout.

Plan catalogue hierarchy

Define sections, category openers, product templates, comparison tables, case studies, CTA and contact pages around how buyers look for information.

Prepare images intentionally

Decide which products need packshots, dimension graphics, application images or 3D renders. Use consistent crops and sufficient resolution for the final physical size.

Separate PDF and print requirements

Interactive PDF can use links and smaller files. Print needs bleed, colour and finishing requirements from the printer. One export setting is not ideal for every output.

Control revisions

Collect comments in one agreed source, use version numbers and lock approved master styles. Do not rebuild page typography during the final proofing round.
